Responsibilities

Provide comprehensive administrative support to Senior Secretaries, coordinating seamlessly with internal and external stakeholders across multiple time zones.
Manage complex travel arrangements, including hotel and flight bookings, ground transportation, and visa applications.
Oversee expense reimbursements and local transportation for client meetings; coordinate meal arrangements as required.
Support meeting logistics, handling event registrations, and related tasks.
Coordinate, monitor and follow up personal affairs as assigned.
Uphold the highest standards of professionalism and confidentiality, exercising discretion in all interactions with business and senior management teams.
Assist with ad hoc tasks and special projects as assigned.

Requirements

Diploma in business management or a related field, or formal training in secretarial, office management, or administrative studies.
Minimum of 3 years’ experience supporting senior stakeholders.
Exceptional multitasking, prioritization, and time management skills, with the ability to perform under tight deadlines.
Proven ability to handle sensitive and confidential information with utmost integrity.
Meticulous attention to detail, with strong calendar management and record-keeping abilities.
Strong cultural awareness and excellent interpersonal skills, with a talent for building and maintaining professional relationships.
Collaborative team player with strong problem-solving and decision-making abilities.
Proficient in Microsoft Office Suite and Google Workspace.
Fluent in English and Chinese, both written and spoken.
