✍️ About the Opportunity
MoonPay is on a journey to become One Company, with one source of truth on processes. As we scale globally and integrate multiple acquired entities, our payroll operations are becoming increasingly complex across jurisdictions, vendors, and compliance frameworks.
The Payroll Operations Administrator will play a critical role in supporting the global payroll function by absorbing a growing volume of BAU payroll work and payroll-related HR administration, enabling the Payroll Manager to focus on strategic delivery, global payroll ownership, and long-term transformation initiatives.
This role is essential to sustaining payroll accuracy, compliance, audit readiness, and employee experience as payroll demand is expected to increase by at least 25% in 2026, with additional entity integrations anticipated.
Key Objectives of the Role
- Support the delivery of accurate, compliant, and timely payroll across multiple entities and jurisdictions
- Reduce operational risk by strengthening payroll controls, documentation, and audit readiness
- Enable global payroll centralisation and M&A integration in line with MoonPay’s One Moon strategy
- Improve payroll data quality, visibility, and reporting across Finance, Legal, and People teams
Key Responsibilities
Payroll Operations Support (BAU)
- Support monthly payroll preparation across multiple countries and providers
- Assist with data collection, validation, and upload from Workday (new hires, leavers, salary changes, PTO, location changes)
- Liaise with payroll providers to resolve queries and discrepancies
- Support payroll approvals and ensure documentation is saved accurately for audit purposes
- Assist with benefits administration aligned to payroll (pensions, insurance, allowances)
Payroll Compliance, Reporting & Audit Support
- Maintain payroll compliance trackers, including statutory filings and deadlines across jurisdictions
- Support preparation and organisation of payroll evidence for internal and external audits
- Assist with payroll reconciliations against GL postings and benefit invoices
- Help maintain accurate audit trails for payroll adjustments, payments, and approvals
- Support tax amendments and year-end reporting processes (e.g. P60, W-2, W2C)
Payroll-Related HR Administration
- Support employee onboarding and offboarding from a payroll and benefits perspective
- Assist with employee lifecycle changes (address updates, tax forms, benefit enrolments)
- Act as first-line support for payroll-related JIRA tickets and employee queries
- Support local authority reporting and documentation requirements where required
Process, Documentation & Systems Support
- Maintain payroll documentation in Confluence (process maps, SOPs, Loom recordings)
- Support updates to the payroll master sheet and calendar
- Assist with vendor coordination and tracking of payroll provider performance
- Support ongoing standardisation of payroll processes across entities
- Unlock provider cost savings (e.g. overlapping vendors, duplicate fees, negotiations, etc.) and additional reduction of opex costs associated with payroll where possible
Project & Transformation Support
- Support payroll-related projects, including:
- M&A payroll integrations
- New entity payroll setup support
- Payroll centralisation and OKR initiatives
- Act as an operational liaison for new entities joining MoonPay
- Support ad-hoc People Team projects related to payroll operations
